TERMS AND CONDITIONS
Please read the following Terms and Conditions carefully before confirming your booking.
Any booking resulting from an enquiry, whether confirmed verbally, electronically, or in writing, will be
subject to a “contract” which refers to the booking form and the following terms and conditions. For the
purposes of simplicity and clarity in these Terms and Conditions, the hirer or booker will be known as
"the Client". Groove Machine Band will be known as “Groove Machine” or “the Band”. Booking Groove
Machine Band shall be subject to these Terms and Conditions of Business unless otherwise agreed in
writing between all parties. The Client understands and acknowledges that these terms and conditions can
be subject to change.
Groove Machine will inform the Client of their fees. They will send an email to complete a digital
booking form, “the contract”, to the Client, once the booking has been approved with the Client and the
Band. The contract must be completed by the Client and returned to Groove Machine, with the required
booking fee, within 10 working days of it being sent to the Client. The contract will only be concluded
after the Client completes, agrees to these terms and conditions, and submits the contract via ‘email.
After receiving the completed contract, and the necessary booking fee from the Client, a copy of the
completed contract and receipt of booking fee payment will be forwarded to the Client. No booking can
be considered as confirmed until the contract has been completed by the Client and the necessary booking
fee is received from the Client. If the Client's contract and booking fee are not received within 10 working
days of it being sent to the Client then Groove Machine reserves the right to release the requested date.
The booking fee is non-refundable upon booking the date. The Booking fee is transferable to a new date
should the Client need to rearrange their wedding, subject to date and Band availability.
1. Booking Fee of €200 is necessary to secure your date
2. This is a non refundable administration/booking fee.
3. This fee covers work and expenses incurred in advance of the event including Accounting,
Insurance, VAT, PRSI, office time for admin with client, time liaising with venue/vendors,
maintenance of equipment, rehearsal of programme material, and the consultation process
with the client.
4. In a situation where a date needs to be rescheduled, under certain circumstances (including
death/miscarriage, serious illness, Force Majeure, pandemic) the booking fee can be
transferred to the new date subject to the band availability.
5. In the event where a rescheduled date cannot be accommodated by the band, we will
advise the client on alternative recommended entertainment options.
6. In the event a venue/government policy cancels/postpones a date, booking fee can be
transferred as in 4 above.
7. In the event a client cancels a date entirely, clause 2 above is valid.
8. Should a FULL cancellation be required by the client, a 25% of full fee, cancellation fee will
apply, if within 3 months of the function date, 50% if within a month, and 100% if less than a
month.
9. If your venue changes, depending on location, a charge may apply to cover any additional
travel.
10. All outstanding balance must be lodged to the above account 4 days prior to the event.
11. Set up time for the band is approximately 30-40 minutes, timed from the availability of a
clear and safe stage/performance area.
12. Early set up, if required, will incur a €200 fee.
13. The band line-up may be subject to change though only in extraordinary circumstances
beyond control (illness, bereavement etc.)
14. The band will play for up two and a quarter hours (subject to venue finish time policy) and
with a possible short break to coincide with any serving of an evening buffet.
15. In the event of a later commencement time, finish time for the band is between 00:00 and
00:30. Any later performance is at the band’s discretion.
16. Groove Machine Band will provide all necessary sound and lighting equipment, which
carries public liability insurance.
17. For insurance, hygiene, and, health and safety reasons, we do not permit
singers/performers on the night, or anyone to use any of the band instruments or
microphones.
18. First dance requests , for wedding bookings must be confirmed at the latest, 3 weeks prior
to the event.
19. If you have specific personal requirements relating to your event, please inform your
booking contact as soon as possible. All personal requests are dealt with in the strictest
confidence and diligence.
20. Any extra music requests must be discussed with the band a minimum of 2 months prior to
the event, these are at the bands discretion, taking into consideration the rehearsal
potential/work schedule/request volume in advance of the event.
21. Please confirm receipt of this contract via email, completing and required empty fields, and
agreeing that acknowledgement and return of the completed contract, is your consent to
agree to the Terms and Conditions herein.
